Use the Scribeless manual send action when a sales or customer success user should choose a campaign before sending one handwritten mailer from Salesforce.
The action currently supports Lead and Contact records. Account-level sending is not included in this version because Scribeless recipients are person-level.
Before you start
The Scribeless Salesforce package is installed.
The
Scribeless_APINamed Credential is configured.Your user has the packaged Scribeless Callout Access permission set and access to the Scribeless External Credential principal.
Your Scribeless account has a campaign in an eligible status, such as Ready, Pending, or Paused.
The Lead or Contact has enough postal data to create a recipient.
For Leads, the required Salesforce fields are First Name, Street, and Country. For Contacts, the required fields are First Name, Mailing Street, and Mailing Country.
Add the action to Lead and Contact pages
If users cannot see Send Scribeless Mailer, a Salesforce admin needs to add the Lightning Web Component action to the relevant page layout.
Go to Setup > Object Manager.
Open Lead or Contact.
Open Buttons, Links, and Actions.
Confirm there is a Lightning Web Component action using the
scribelessMailercomponent.Open Page Layouts and edit the active layout.
Add Send Scribeless Mailer to Salesforce Mobile and Lightning Experience Actions.
Save the layout.
Send from a Lead
Open the Lead record. In the top-right action area, select the more actions dropdown and choose Send Scribeless Mailer.
The modal opens with the Salesforce recipient summary and a Scribeless campaign dropdown.
Choose a Scribeless campaign
Open the Scribeless campaign dropdown and choose the campaign you want to send to. The dropdown is loaded from the Scribeless account connected by the API key and labels each campaign with its status.
Completed or unavailable campaigns, such as shipped or deleted campaigns, are not shown for manual recipient creation.
Fill campaign-specific fields
After you choose a campaign, Salesforce checks whether the Scribeless campaign has template variables. Each returned variable appears as a required input.
Obvious values such as first name, last name, company, title, and address fields can be prefilled from Salesforce. A booking-link or QR-code field can also be prefilled from the logged-in Salesforce user's Scribeless booking link, if your admin has configured that user field.
Add a personalized message
If the Scribeless template includes a custom message field, the sender can add the note text directly before sending. For example, a short follow-up can be used after a sales meeting.
Longer messages can also be entered when the campaign template supports them. Review the generated preview after sending so the sender can confirm the output.
Send the mailer
When the recipient details, campaign, and campaign fields are ready, select Send mailer. Salesforce creates the recipient in Scribeless and shows the result.
The result can include the recipient ID, recipient status, an inline preview after it is generated, and buttons to open the preview or open Scribeless.
Send from a Contact
The Contact workflow is the same as the Lead workflow. Open the Contact record, select the top-right action dropdown, then choose Send Scribeless Mailer.
Contacts use the Contact mailing address fields. If the Contact has an Account address but no Contact mailing address, complete the Contact mailing address before sending.
Missing field errors
If the record does not have enough information, Salesforce blocks the send before calling Scribeless. The modal shows the missing Salesforce fields and includes Edit record in Salesforce so the user can update the source record.
This keeps Salesforce as the source of truth for recipient and mailing address data.
Troubleshooting
If the action is missing, ask a Salesforce admin to add it to the Lead or Contact layout.
If the campaign dropdown is empty, check the Scribeless API key and confirm the connected account has an eligible campaign.
If the modal shows a Salesforce credential, callout, Named Credential, or External Credential error, ask an admin to confirm your user has access to the External Credential principal. This access is granted in a customer-owned permission set, separate from the packaged Scribeless permission set.
If the send button is disabled, choose a campaign and complete all required campaign fields.
If the preview does not display after a successful send, ask a Salesforce admin to check the CSP Trusted Site setup for the Scribeless preview image host.
