Use the Scribeless contact profile action when you want to send one mailer from an individual HubSpot contact record. This is useful for sales, customer success, founder-led follow-ups, and any situation where a person should choose the campaign before sending.
Before you start, make sure:
The Scribeless HubSpot connector is installed.
The contact has the postal address fields needed by Scribeless.
The Scribeless campaign already exists.
You know which HubSpot contact properties, if any, should be passed into Scribeless as variables.
Open the HubSpot contact
Open the HubSpot contact record you want to send mail to. In the right-hand sidebar, find the Scribeless card.
If you do not see the Scribeless card, check that Scribeless is installed under Settings > Integrations > Connected apps. You may also need to refresh the contact record after the app is installed.
Start the send action
In the Scribeless card, select Send Scribeless mailer. HubSpot opens a Scribeless send form without leaving the contact record.
Choose the campaign
Use the Campaign dropdown to choose the Scribeless campaign that should receive the recipient.
The dropdown is loaded from the Scribeless team connected during installation. If the campaign you expect is missing, check that the campaign exists in that Scribeless team.
Fill campaign variables
After you choose a campaign, Scribeless shows the variables used by that campaign. Fill any values you want to pass into the mailer before creating the recipient.
For example, if the selected campaign uses a variable such as firstName, check the value and update it if needed before sending.
HubSpot contact details such as name, company, and postal address are mapped automatically from the contact record.
Choose HubSpot properties to include
Open Include extra HubSpot properties if you want to pass more HubSpot contact properties into Scribeless. Tick the properties you want to send as recipient variables.
For example, selecting Job Title sends the contact's job title to Scribeless as jobtitle. Selecting Email Domain sends hs_email_domain.
Only select properties that are useful for the Scribeless campaign. Avoid sending unnecessary personal data.
Create the recipient
Select Create recipient. Scribeless creates the recipient in the selected campaign and shows a success message.
When the Scribeless preview is ready, the success screen can show a preview of the created mailer. You can also open the campaign from the success screen to review the recipient in Scribeless.
What is sent to Scribeless
The contact profile action sends the HubSpot contact's name, company, postal address, campaign variables, and any HubSpot properties you ticked.
Scribeless also stores the HubSpot contact ID as the recipient external ID. This makes it easier to identify which HubSpot contact created the recipient.
Troubleshooting
If the send form opens but the campaign dropdown is empty, reconnect Scribeless and confirm the API key belongs to the correct Scribeless team.
If Scribeless rejects the recipient, check that the HubSpot contact has a complete postal address.
If a selected property does not appear in Scribeless, make sure the property has a value on the HubSpot contact. Empty HubSpot properties are not sent as recipient variables.
If you accidentally send to the wrong campaign, review the recipient in Scribeless before fulfillment and remove or correct it there.
