This guide uses Zapier as the connector, but the same workflow can be built in Make, Pipedream, n8n, or similar automation tools. The core pattern is: trigger from a Monday CRM board or deal milestone, then add the contact as a recipient in Scribeless.

Before you build the Zap, create the campaign in Scribeless. Choose the note design, handwriting style, message, QR code, and any merge variables first. Zapier's Scribeless action adds recipients to an existing campaign; it does not create the campaign content for you.

What this automation does

When an item in Monday CRM reaches the right opportunity or customer status, Zapier sends the person's name, company, postal address, and board context to Scribeless.

Use this for B2B workflows such as:

  • Sending an onboarding welcome letter when an opportunity status changes to Closed won.

  • Sending a thank-you note the day after a completed demo.

  • Sending a renewal or save-account postcard before a key account date.

  • Sending a customer success note after a renewal, expansion, or upsell trigger.

If your Scribeless campaign uses a QR code, you can also send scan engagement back into Monday CRM in a separate automation. For example, a QR scan can create an owner task, post an update on the item, update an intent field, or move the item into a follow-up status.

What you need

  • A Monday CRM account connected to Zapier.

  • A Scribeless campaign that is ready to receive recipients.

  • A Monday CRM board with the fields Scribeless needs: first name, last name, address line 1, city, postal code, and country.

  • A Zapier account connected to both Monday CRM and Scribeless.

  • A paid Zapier plan if you want filters, delays, Paths, or multi-step enrichment.

Monday CRM boards are flexible, so confirm where your postal address and send trigger live before you build the Zap. Some teams keep mailing fields on the opportunity board. Others store address data on a contacts board and use connected boards or lookup columns.

Build the Monday CRM trigger

  1. In Zapier, create a new Zap.

  2. Set the trigger app to Monday.com.

  3. Choose the trigger event that matches your board setup. Common options are a new item, an item update, or a specific column value change.

  4. Connect your Monday CRM account.

  5. Choose the workspace and board that owns the CRM workflow.

  6. Test the trigger so Zapier can load a recent opportunity or customer item with the same fields your campaign will use.

Use a test item that includes the owner, company, status, renewal date, postal address, and any merge variables you expect to print.

Add optional filters and delays

Add a filter if only some Monday CRM events should trigger handwritten mail. Common filters include:

  • Status changed to Closed won, Demo completed, Renewal due, or Upsell opportunity.

  • Pipeline, board, group, territory, segment, owner team, or account tier matches the campaign.

  • Renewal date, onboarding date, or contract end date is inside the right window.

  • Postal address fields are complete before the item reaches Scribeless.

Add Delay by Zapier when the handwritten note should arrive after the milestone rather than immediately after the Monday CRM update. Useful patterns include waiting until the next business day after a demo, a few days after closed won, or a defined renewal-review window.

Add the Scribeless action

  1. Add the final action step.

  2. Choose Scribeless.

  3. Set the action event to Add Recipients.

  4. Connect your Scribeless account.

  5. If you are in more than one Scribeless organization, choose the organization that has the campaign you want to use.

Map the recipient fields

In the Scribeless Configure tab:

  1. Choose the campaign in Campaign ID.

  2. Map Monday CRM's first name and last name fields to First Name and Last Name.

  3. Map postal fields into Address line 1, Address line 2, city, state or region, postal code, and country code.

  4. Map company, opportunity name, owner, pipeline, status, demo date, renewal date, account tier, or customer success manager if your campaign uses those merge variables.

  5. Optionally map email or phone for reconciliation, tracking, or reporting.

If address data lives on a connected contact board, add a lookup step before Scribeless or sync postal fields onto the board that starts the Zap.

Send QR scan activity back to Monday CRM

If your Scribeless note includes a QR code, keep the response workflow separate from the send workflow. A QR scan should update the Monday CRM item in a way your team already watches.

Common Monday CRM follow-up actions include:

  • Post an update on the opportunity or account item.

  • Create a follow-up task for the owner.

  • Update a status column such as Direct mail engaged or Follow-up needed.

  • Route the item into a follow-up group or workflow.

Use a stable matching key such as email, item ID, account domain, or CRM opportunity ID.

Test and turn on

  1. Test the Zap with a safe internal Monday CRM item.

  2. Confirm the recipient appears in the correct Scribeless campaign.

  3. Check that the name, address, company, opportunity context, and merge variables are complete.

  4. Review your filter and delay logic if the recipient should only be added after qualification or timing checks.

  5. Turn on the Zap once the test recipient looks correct.

For live workflows, monitor the first few Zap runs and Scribeless recipients, especially when fields are stored in connected boards or mirrored columns.

Troubleshooting

If the item appears in Zapier but not in Scribeless, check the Zap run history. Confirm the filter passed, the delay completed, the Scribeless action ran successfully, and the action points at the right organization and campaign.

If address fields are missing, the trigger item may not include postal data directly. Add a lookup step for the linked contact or account, or sync postal fields into the trigger board.

If every status change triggers mail, add a filter based on status, board, group, owner, account tier, renewal date, or another send-ready field.

If QR scan activity is not updating Monday CRM, keep the response workflow separate from the send workflow. Confirm the QR scan trigger is receiving events, then confirm the Monday CRM action finds the intended item by item ID, email, account domain, or another unique attribute.
